Settings - List Utility

What is the List Utility?

The List Utility in YMS is a central utility used to manage what values appear in the various drop down lists throughout the application. These lists standardize options for data entry & customized workflows, streamline filtering, and ensure consistency.

Each list is maintained independently within the List Utility Module, allowing application administrators to customize the drop down list options.

Some examples of the lists that can be managed are below:

  • Departments – Used throughout YMS to determine which Department is responsible for data & which Department a Crew Member belongs to.

  • Positions – Defines Positions onboard and used for assigning Tasks.

  • Worklist Names – Control your Tasks list with well defined worklist names to easily group, filter and organize your work.

  • Order Status – Sets the available status options for the Purchase Order workflow.

To select which list you want to manage:

  1. Navigate to the List Utility under Settings in the navigation menu.

  2. In the top-right corner, use the drop down menu to select the list you would like to manage, the Department list is displayed as the default.

  1. Choose the list you want to update.

  2. Click the “+ New Entry” button in the top-right corner of the List Utility.

  3. Enter the list value in the dialog.

  4. Click “Create” or “Create & New” to save.

  1. Locate the value you want to modify.

  2. Click the Edit icon (pencil) next to the item.

  3. Make your changes in the dialog and click Save.

Editing a list value updates the drop down list, however it does not change previously selected values.

Some lists support custom ordering for example:

  • Positions can be ordered by rank or seniority.

  • Order Status can be arranged to match the typical progression of a purchase order workflow.

If a list supports ordering, you can:

  • Drag and drop items directly in the grid to set the desired sequence.

  1. Locate the value you want to remove.

  2. Click the Delete icon (trash can) next to the item.

  3. Confirm deletion when prompted.

Deleting a list value removes it from the drop down lists, but it does not affect records where the value was previously selected.
