Certificates – Archiving Certificates

Archiving allows you to retain a historical record of certificates that are no longer required. This is useful when a certificate has been replaced, or when it no longer needs to remain valid due to geographical, operational, or other reasons. Archived certificates are hidden from the main view, helping you keep the certificate list focused on active and relevant records while still preserving historical documentation for reference if needed.

Open the relevant Certificates module such as Vessel Certificates, Crew Certificates, or Passports.

Open the certificate you would like to archive and select the Archive option from the available actions.

Once archived, the certificate will be removed from the default certificate view. The certificate will no longer be editable and YMS will no longer generate tasks when the certificate reaches a warning or expired state.

Archived certificates can still be accessed at any time.

To view them, enable the “Show Archived” option in the grid view. Archived records will then appear alongside active certificates, allowing you to review historical information when needed.

Archived certificates are highlighted with a yellow tint to clearly distinguish them from active certificates.

If a certificate was archived by mistake or needs to become active again, it can easily be recovered.

Open the archived certificate and select the Recover option. The certificate will be restored to the active certificate list and YMS will generate a task when the Certificate is in a warning or expired state.
