Certificates – Warnings & Expirations

The Certificates module includes flexible expiration and warning tracking to help ensure important documentation is renewed on time. By configuring expiration dates and optional warning periods, YMS can automatically notify crew when certificates are approaching renewal or have expired, helping maintain compliance and avoid administrative oversights.

When creating a certificate you can optionally enter an expiration date. Once this date is reached, YMS will automatically consider the certificate to be in an expired state.

If no warning period has been configured, YMS will generate a task on the expiration date reminding crew that the certificate must be renewed. This ensures that certificates without advance warnings are still tracked and do not go unnoticed once they expire.

You can configure a warning period for each certificate by choosing both a time value and a measurement unit, for example 4 Weeks or 6 Months. This allows you to customise how far in advance you would like to be reminded before the certificate expires.

Once the configured warning threshold is reached, YMS considers the certificate to be in a warning state. At this point the system automatically generates a task reminding crew to begin the renewal process.

Using warning periods allows renewals to be planned ahead of time, which is particularly useful for certificates that require inspections, surveys, or external approvals before they can be renewed.
