This guide explains how to create and manage documentation records in YMS, including adding new records, uploading files, and handling document revisions. These steps apply across all Documentation Library sub-modules.
Adding Documentation
Follow these steps to create a new documentation record in the appropriate sub-module:

Navigate to the desired sub-module under the Documentation Library.

Click + NEW ENTRY.

In the detail form that opens, complete the required fields:

Title

Category
-

Click Create to create the documentation record.
Top Tip: Use clear and consistent naming conventions for titles to improve search ability.
Adding Files & Revisions to Documentation
Uploading a File
Once a documentation record is created, upload the associated file in the Revision History section:

In the Revision History section click Add.

Upload the file by:

Dragging and dropping the file, or

Clicking My Files to browse from your device.

(Optional) Enter any relevant revision information (e.g., version notes, date).

Click Save. Your Documentation now has an attachment.
Uploading a New Revision
If a document changes—such as when a manufacturer releases an updated manual or parts list, or when onboard modifications require updated technical drawings—you should upload a new revision of the existing documentation, rather than creating a new documentation record.

Open the existing documentation record.

In the Revision History section, click Add.

Upload the new file.

Ensure the Revision Date is correct—YMS uses this date to determine the latest version.

Click Save and Close.
Note: The most recent revision will be opened by default when accessing the Documentation throughout YMS.
